Onboarding is usually described in terms of culture and first impressions. That’s real, but it’s not what makes or breaks the module.
What makes or breaks it is whether a specific list of documents and data points is captured before a new employee works their first shift. If they aren’t, someone chases them for three weeks, the first pay run is wrong, and a Fair Work obligation quietly goes unmet.

What the Employment Hero onboarding module actually does
The module turns a new starter’s paperwork into a self-service digital sequence. The employee gets an invitation, completes their details on their phone, signs their contract electronically, uploads documents and acknowledges policies — before their first day, without anyone printing anything.
What matters most is where the data goes afterwards. Onboarding writes directly to the employee record that payroll reads from, so bank details, tax declaration, superannuation fund, employment type, classification and pay rate are captured once by the person who knows them, and never retyped. Most first-pay errors are transcription errors, and this removes them.
It also gives you evidence. Every acknowledgement is timestamped, every document stored against the employee, and completion visible on a dashboard rather than in someone’s inbox. When you need to show a new employee received the Fair Work Information Statement, the record is there.

The compliance items that must be captured at onboarding
These aren’t nice-to-haves. Each one is an obligation, and each one is far easier to meet at hire than to retrofit.
- Fair Work Information Statement — must be given to every new employee before they start, or as soon as practicable afterwards. Build it into the onboarding content so issue is automatic and recorded.
- Casual Employment Information Statement — must be given to casuals when they start and at set intervals afterwards. Assign it by employment type so casuals get it and permanents don’t.
- Tax file number declaration — completed digitally and reported to the ATO. Wrong at hire means incorrect withholding from the first pay.
- Superannuation choice — employees can nominate their own fund. Where they don’t, you must request their stapled fund from the ATO before defaulting. Capture the nomination during onboarding so the request happens on time.
- Right-to-work evidence — confirm the person is entitled to work in Australia and store the evidence against the employee record. For visa holders, record the check and any conditions.
- Award and classification — record the modern award, classification level and pay rate at hire. Classification decided at onboarding is decided once; decided later, it’s usually decided after an underpayment.
- Signed employment contract — issued and executed by e-signature, stored against the employee file, including annualised salary or set-off clauses where they apply.
- Policy acknowledgements — workplace behaviour, bullying and harassment, WHS, code of conduct, IT and social media use. Timestamped acknowledgement is what makes a policy enforceable in practice.
- Licences, tickets and qualifications — recorded in the Certifications feature with expiry dates, so renewals prompt automatically rather than lapsing unnoticed.

Two rows deserve emphasis. “Confirm every pre-start item is complete before the first shift is worked” is the control that prevents almost every downstream problem — make it a hard gate, not a reminder. Configure by employment type, not one flow for everyone
A single onboarding flow for every hire is the most common configuration shortcut, and it creates two problems at once: casuals miss documents they’re entitled to, and salaried office staff get asked for a white card.
Build separate flows for the categories that behave differently. Casuals need the Casual Employment Information Statement and usually a simpler policy set. Permanent staff need probation dates, leave entitlement explanations and full policy acknowledgement. Site-based roles need certifications, licences and site inductions. Managers need approval permissions and delegation set from day one.
Set expiry-tracked certifications by role rather than by individual. When you hire the next forklift operator, the requirement is already attached to the role.
Where onboarding configurations go wrong
Nothing gates the first shift. If an employee can start work with an incomplete profile, the profile stays incomplete. Make pre-start completion a condition of the roster, not a task on a list.
Everything lands on day one. Contract, eleven policies, four learning modules and a tax declaration in the same hour means nothing is read properly. Stage the release across the first fortnight.
Policies are uploaded but not assigned. A policy sitting in a document library has not been acknowledged. Assignment with tracked acknowledgement is the difference between having a policy and being able to rely on it.
Onboarding is disconnected from payroll. If someone is re-keying bank details or classifications after onboarding, the main benefit has been engineered out. The employee record should be the single source.
Automation replaces the manager. The module handles paperwork so managers can spend day one on the actual introduction. Treated as a substitute for the human part, it produces well-documented employees who don’t know anyone.
